Approving your agency's timesheets
Your agency has asked you to approve hours for your sites.
Last checked: October 2026. A plain-English summary, not legal advice.
What you can do
A free login
Client approvers are not billed. You see your sites only.
Approve or reject
Reject needs a reason. That reason is how you query a shift.
No payment here
Approving records the hours. Pay and invoices stay with the agency.

How it works
- 1
Open the invite
The invite from the agency expires in 7 days.
- 2
See your sites
Other clients of the agency are not in this login.
- 3
Approve or reject
Reject needs a reason.
- 4
Leave the lock
The agency locks the week after you approve.
- 5
Pay stays outside
This screen does not pay anyone or raise an invoice.
What you are being asked to do
Open the invite from the agency. It expires in 7 days. After you join, Timesheets lists the hours for your sites. You do not see the agency's other clients. You do not clock in, and you do not submit a timesheet of your own.
For a shift that is waiting, press Approve, or press Reject. Reject needs a reason.

What this login is not
It is not a payroll login, and it is not an invoice. The agency downloads hours and does its own pay and its own billing. You are not charged for the login. Owners, admins and HR at the agency are also outside the worker price. That price is the agency's bill, not yours.
If a shift looks wrong, reject it and say why. If the person was not on your site, say that. The agency placed them and published the shift. Questions about the placement go back to the agency. The worker is told the same thing: contact the agency, not the client, about the job.

Questions
Will I be billed for this login?
No. Client approvers are free. The agency's price is for its active workers, which means staff and managers.
Can I see other clients of the agency?
No. You see the sites of the client you were invited for.
Does approving a shift pay the worker?
No. Approval records that the hours are agreed. Pay and invoices stay with the agency, outside Shiftbrook.
What you are being asked to do
Approve does not. That reason is how you query a shift. There is no second mailbox. The agency can see the reason. They lock the week when they are ready. Your approval does not itself lock it, and it does not move money.
What this login is not
The steps are also on client approval. If you employ your own staff as well, Shiftbrook is free for up to 5 staff on the first organisation. A rota for your own team is here. That is a separate organisation from the agency login you were just given.
