Template

A blank week of cleaning tasks.

A free cleaning rota template. Each row is a task: the area, the work, a name if you have one, and the times. Download the .xlsx. No email address.

The .xlsx is the file. Google’s guide shows how to upload it to Drive, or how to use File then Import, so the copy sits in your Drive. No email address is asked for here, and there is no Shiftbrook copy link.

How to use it

  1. Download the .xlsx. The page does not ask for an email address.
  2. On Week, enter the date, the area, the task, the name, the start and the end.
  3. Leave Name blank when you know the task and not the person.
  4. Notes is for the thing a column cannot hold, such as which key opens the room. It is not a chemical assessment.
  5. Open the file in Google Sheets from your own upload. Google’s guide is linked here.

Tasks, not a pretend published week

A cleaning rota is a list of areas and the people who will do them. A hotel floor, a shop after close, or a factory aisle are the same shape of row: where, what, who, and when. Twenty blank rows are enough for a small site. Add more if the building is larger. Nothing is pre-filled with a site name or a person’s name.

Leave the name empty when the task is open. That is the spreadsheet version of an open shift. It does not, by itself, tell anyone. You still have to share the file, or put the same hours on a published rota. In Shiftbrook an open shift is visible once you publish it. This file has no publish button.

What a cleaning row is not

It is not a COSHH assessment, a risk assessment, or a list of chemicals. If a task needs a specific method, that method lives in the workplace instructions, not in a Notes cell that someone might skip. It is also not proof the task was done. A name on a row is a plan. Clock-in, where you use it, is a punch against the site pin. The timesheet is where hours are approved.

Split a day into the tasks that actually happen. An early open and a close after the public have left are two rows, not one bar that hides the gap. The same rule as a split shift applies: do not make the afternoon look like work if nobody was there.

What the file does not do

It does not warn about rest, the 48-hour average, or a missing day off. It does not calculate pay for a cleaning hour. It does not import into Shiftbrook. If the week should live in the product, add the shifts there, keep drafts private, and publish the ones the team should see.

The free plan covers up to 5 staff and one location on the first organisation. A 14-day trial of the paid plan needs no card. Approved hours in the product download as a CSV. Sending approved hours to Xero Payroll UK is not available until that connection works end to end.

Questions

Can I leave the name blank?

Yes. A row with a task and no name is an unassigned task. It is not published to anyone until you share the file.

Does this check chemicals or equipment?

No. It lists the task. The safe method for that task belongs in your own instructions.

Will staff see the sheet?

Only if you share it. Shiftbrook does not read this file.

Do I need an email address?

No. The .xlsx downloads directly.
