What the hours column is doing

Start and End are times. Break minutes is a number. The Hours cell is a formula: take the end, subtract the start, turn that fraction of a day into hours, then subtract the break. If the break cell is empty it is treated as zero. If start or end is empty, Hours stays blank, so a spare row does not show a zero you might add by mistake.

A shift that crosses midnight breaks that sum, because the end looks earlier than the start. The formula is not a night-shift calculator. Split the work at midnight into two rows, or type the hours in place of the formula for that row. The How to use sheet on the file says this in one line so it travels with the workbook.

The sheet does not know whether a break was taken. You type the minutes. In Shiftbrook, a break that was started and ended on the clock is deducted, and a day that missed the company rule is flagged. The missing minutes are not invented there, and they are not invented here either. This cell only subtracts the number you entered.

A file, not a payroll run

The template records length of time. It does not calculate pay, tax, or a rate after a certain hour. Download CSV inside Shiftbrook is the same kind of boundary: hours leave the product as a file, and pay is worked out somewhere else. Sending approved hours to Xero Payroll UK is not available until that connection works end to end. This template does not connect to Xero either.

There is no email form in front of the download. You can pass the file to whoever needs the hours. If you would rather keep it in Google Sheets, upload the .xlsx or import it. That copy sits in the Drive of the person who uploaded it. Shiftbrook does not receive a copy, and it does not ask for the address first.

When the product is the better record

Use the sheet when you want a blank week you can share as a file. Use Shiftbrook when the hours should come from a published rota or from a clock-in, and when a manager should approve them before they lock. A new organisation starts on a weekly period. The free plan is up to 5 staff. A 14-day trial of the paid plan needs no card, and it still does not calculate pay.

Approved timesheet hours are also what irregular-hours holiday uses, at 12.07% inside the holiday year. A number typed in this file does not accrue anything in the product.
